  • through our website, cookies and similar technologies

  • from publicly available business sources where appropriate and lawful

Where another organisation provides your information, we ask it to ensure that it is entitled to do so and that you have been given appropriate privacy information.

4. Why we use your information and our lawful bases

We use personal information only where we have a lawful basis.

Contract

We use information where necessary to:

  • respond to and manage a booking or purchase

  • deliver products, services, events, training and digital content

  • process payments, transfers, cancellations and refunds

  • provide customer support

  • administer assessments and certificates

Legal obligation

We use information where necessary to comply with tax, accounting, consumer protection, safeguarding and other legal requirements.

Legitimate interests

We may use information for our legitimate interests in:

  • responding to business enquiries

  • running and improving our services and website

  • keeping appropriate business records

  • preventing fraud, misuse and security incidents

  • understanding service and website performance

  • protecting our rights and resolving complaints

  • communicating with business contacts where permitted by law

We consider the impact on your rights before relying on legitimate interests. You may object to this processing in certain circumstances.

Consent

We rely on consent where required, including for:

  • Laugh Lines and other email marketing where consent is the appropriate basis

  • non-essential cookies

  • certain identifiable promotional photographs, recordings and testimonials

  • health or accessibility information where explicit consent is the appropriate condition

You may withdraw consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.

5. Health and accessibility information

Information about health is special category data and receives additional protection.

We ask you to share only information genuinely relevant to safe or accessible participation. Where we rely on your explicit consent, you may withdraw it, although doing so may affect our ability to make a requested adjustment or safely provide a service.

We restrict access to this information and retain it only for as long as necessary, unless an incident, legal obligation or legal claim requires longer retention.

6. Marketing and Laugh Lines

We may send Laugh Lines and other marketing communications where you have consented or where another lawful route is permitted.

You can unsubscribe at any time by selecting the unsubscribe link in an email or contacting hello@laughteratwork.com. Service messages about an existing booking or purchase are not marketing and may still be sent where necessary.

7. Photography, video and testimonials

We may photograph or record certain workshops, conferences or events. We will provide appropriate notice and will use identifiable material only where we have a valid lawful basis. Where we rely on consent, choosing not to participate will not affect your access to the service.

If you provide a testimonial, we will explain how we intend to identify you. We will seek permission before adding details such as your photograph where required.

If a corporate client or event organiser controls photography at its event, it is responsible for explaining its own use of that material.

8. Cookies

Our website uses cookies and similar technologies for security, core site functions, preferences, analytics and, where enabled and consented to, marketing.

Non-essential cookies are not placed until the required consent has been obtained. You can change your choices through the Cookie Settings link on the website. Please read our Cookie Policy for more information.

Where necessary, we may share information with trusted providers that support:

  • website hosting, forms, customer management and email delivery, including Wix

  • online meetings and training, such as Zoom or Google Meet

  • delivery and postal services

  • accounting, insurance, legal and professional advice

  • website analytics and advertising, where enabled and consented to

We may also disclose information where required by law, to protect legal rights, in connection with a business reorganisation, or to respond to an emergency.

We do not sell personal information.

10. International transfers

Some service providers may process information outside the United Kingdom. Where this happens, we use providers and safeguards permitted by data protection law, such as adequacy regulations or approved contractual protections, and take additional measures where required.

You may contact us for more information about the safeguards relevant to your information.

11. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, insurance and dispute-resolution requirements.

As a general guide:

  • enquiry records are normally retained for up to 24 months after the last meaningful contact

  • booking, order, payment and accounting records are normally retained for up to 6 years after the relevant financial year or transaction

  • marketing records are kept until you unsubscribe or your information is removed under our review process; suppression records may be retained so we can respect an unsubscribe request

  • health and accessibility information is deleted when it is no longer needed for the relevant event or service, unless an incident or legal requirement justifies longer retention

  • course completion and certification records may be kept for as long as reasonably necessary to verify qualifications or provide replacement certificates

  • photographs, recordings and testimonials are reviewed periodically and removed when they are no longer needed or when consent is validly withdrawn, unless another lawful basis applies

Actual periods may vary where the law requires, a dispute is ongoing, or information has been securely anonymised.

12. Security

We use appropriate technical and organisational measures intended to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. Access is limited to those who reasonably need it.

No internet or storage system can be guaranteed completely secure.

  • be informed about how your information is used

  • request access to your information

  • ask us to correct inaccurate or incomplete information

  • request deletion of information

  • request restriction of processing

  • object to certain processing, including direct marketing

Our website and general online shop are not directed at children. A parent, guardian, school, employer or responsible organisation must make any booking involving a child where appropriate.

We take additional care where services involve children or vulnerable people and will obtain or require appropriate permissions for the relevant activity and any photography.

15. Third-party websites

Our website may link to third-party websites or platforms. Those organisations control their own processing and privacy notices. We encourage you to review them before providing information.

16. Changes to this policy
